This Privacy Policy ("Privacy Policy" or "Policy") explains how RecruitEye LLC ("RecruitEye," "we," "us," or "our") collects, uses, shares, and protects information about users ("you," "your") when you visit and interact with our website, mobile applications, desktop applications, and AI-powered career services (collectively, "Services" or "Platform").

"Personal Information" means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular individual or household.

1. Information We Collect

We collect several types of information from and about users of our Services, including Personal Information and non-personal information. The specific information we collect depends on how you interact with our Platform.

1.1 Information You Provide Directly

When you create an account, use our Services, or communicate with us, you may provide the following information:

  • Account Registration Information: Name, email address, phone number, password, location (city, state, country), and profile photo
  • Career and Professional Information: Resumes, cover letters, work history, education credentials, skills, certifications, portfolio links, job preferences, target roles, and salary expectations
  • Uploaded Documents and Content: PDF and Word documents, text files, images, work samples, project descriptions, and any other materials you upload to the Platform
  • Interview Practice Data: Text responses, audio recordings, video recordings, interview transcripts, practice session notes, and feedback you provide
  • Communication Data: Messages, emails, support tickets, feedback, and any other communications between you and RecruitEye or between you and employers/recruiters through our Platform
  • Payment and Billing Information: Credit card details, billing address, payment method, transaction history, and subscription information (processed securely through third-party payment processors)
  • Job Application Information: Job descriptions, company names, application dates, application status, and notes related to your job search
  • Preferences and Settings: Communication preferences, notification settings, privacy controls, and feature customization options

1.2 Information Generated Through Platform Use

As you use our AI-powered tools and services, we generate and collect the following information:

  • Resume Analysis Results: ATS compatibility scores, keyword match percentages, gap analysis reports, improvement suggestions, and comparative benchmarking data
  • AI-Generated Content: Enhanced resume bullet points, cover letter drafts, professional email templates, and other AI-assisted content created for you
  • Interview Performance Metrics: STAR methodology scores, response quality assessments, speech patterns, confidence indicators, and progress tracking over multiple practice sessions
  • Web Profile Analytics: Profile views, visitor demographics, recruiter engagement signals, click-through rates, and traffic sources
  • Platform Engagement Data: Features used, time spent on specific tools, frequency of use, completion rates, and user journey patterns

1.3 Automatically Collected Technical Information

When you access our Services, we automatically collect certain technical information about your device and usage:

  • Device Information: Device type, operating system, browser type and version, screen resolution, device identifiers (including advertising identifiers), and hardware model
  • Network and Connection Data: IP address, internet service provider, connection type, and approximate geographic location based on IP address

2. How We Use Your Information

RecruitEye uses the information we collect for the following purposes:

2.1 To Provide and Improve Our Services

  • Deliver AI-powered resume analysis, optimization, and enhancement tools
  • Generate personalized cover letters, professional emails, and career documents
  • Provide interview preparation, practice sessions, and performance feedback
  • Create and host your professional web profile with analytics
  • Enable job matching and personalized job recommendations
  • Process and fulfill your subscription and payment transactions
  • Maintain, troubleshoot, and improve the Platform's functionality, performance, and user experience
  • Develop new features, tools, and services based on user needs and feedback

2.2 To Personalize Your Experience

  • Tailor content, recommendations, and suggestions based on your career goals, industry, and experience level
  • Customize AI-generated content to match your professional voice and target roles
  • Provide relevant job opportunities aligned with your skills and preferences
  • Remember your preferences, settings, and frequently used features

2.3 To Enable Connections with Employers

  • Make your profile visible to recruiters and employers when you opt in
  • Facilitate communication between you and potential employers
  • Share your resume, cover letter, and application materials when you apply for jobs
  • Provide employers with analytics about profile engagement and application status

2.4 To Test, Train, and Improve AI Models

CRITICAL AI TRAINING DISCLOSURE:

RecruitEye uses anonymized, aggregated data to improve our AI models and algorithms. However, we do NOT use your personally identifiable information, individual resumes, interview recordings, or Google Workspace data to train generalized AI or machine learning models that could be used by other users or third parties.

Specifically, we may use aggregated, de-identified data to:

  • Improve the accuracy of ATS scoring algorithms
  • Enhance keyword matching and job description analysis
  • Train interview feedback systems to provide better coaching
  • Optimize content generation quality and relevance
  • Develop better resume parsing and analysis capabilities

All data used for AI improvement is stripped of personally identifiable information and cannot be traced back to individual users.

2.5 To Communicate with You

  • Send account-related notifications, confirmations, and updates
  • Respond to your inquiries, support requests, and feedback
  • Deliver technical notices, security alerts, and important service announcements
  • Send subscription renewal reminders and billing notifications
  • Provide job alerts, career tips, and platform feature updates (with your consent)
  • Request feedback, reviews, or participation in surveys and research

2.6 For Security, Fraud Prevention, and Compliance

  • Detect, prevent, and investigate fraud, abuse, and violations of our Terms of Service
  • Monitor for suspicious activity, unauthorized access, and security threats
  • Verify user identity and prevent creation of fraudulent accounts
  • Enforce our policies and protect the rights, property, and safety of RecruitEye, our users, and the public
  • Comply with legal obligations, court orders, government requests, and regulatory requirements
  • Maintain records for audit, accounting, and legal purposes

2.7 For Analytics and Business Operations

  • Analyze usage patterns, trends, and user behavior to understand how our Services are used
  • Measure the effectiveness of our features, marketing campaigns, and customer success initiatives
  • Generate aggregate reports and statistics for internal business purposes
  • Conduct research and development for new products and services
  • Perform data analysis, testing, and quality assurance

2.8 For Marketing and Advertising (With Your Consent)

  • Display relevant advertisements on and off the Platform
  • Measure advertising performance and campaign effectiveness
  • Send promotional emails about new features, upgrades, and special offers (you can opt out anytime)
  • Conduct retargeting campaigns to re-engage users who visited our Platform

3. How We Share Your Information

RecruitEye does not sell your Personal Information to third parties. However, we may share your information in the following circumstances:

3.1 With Employers and Recruiters (Only With Your Consent)

We share your professional information with employers and recruiters only when you explicitly choose to do so by:

  • Applying for a job through our Platform
  • Making your web profile public or visible to recruiters
  • Opting in to employer visibility settings
  • Directly sharing your resume or contact information with specific employers

You have full control over what information is shared and with whom. You can adjust your privacy settings at any time.

3.2 With Service Providers and Business Partners

We share information with trusted third-party service providers who perform services on our behalf, including:

  • Cloud Hosting and Infrastructure: Amazon Web Services (AWS), Google Cloud Platform, or similar providers for data storage and computing
  • Payment Processors: Stripe, PayPal, or similar services for secure payment processing and subscription billing
  • Email Services: SendGrid, Mailchimp, or similar platforms for transactional and marketing email delivery

We will notify you via email and/or prominent notice on our Platform before your information becomes subject to a different privacy policy.

3.6 With Your Consent or At Your Direction

We may share your information with third parties when you provide explicit consent or direct us to do so, such as:

  • Integrating third-party services (LinkedIn, job boards, etc.)
  • Sharing content on social media
  • Participating in surveys or research studies
  • Referring friends or colleagues to our Platform

3.7 Aggregated and De-Identified Data

We may share aggregated, de-identified, or anonymized data that cannot reasonably be used to identify you with third parties for research, analytics, marketing, or other purposes. For example, we might share statistics about job search trends, industry insights, or platform usage patterns.

4. Your Privacy Rights and Controls

RecruitEye provides you with tools and options to control your information and privacy settings:

4.1 Access and Update Your Information

  • View and edit your account information, resume, and profile at any time through your account settings
  • Update your contact information, preferences, and professional details
  • Request a copy of your Personal Information by contacting support@recruiteye.com

4.2 Control Employer Visibility

  • Choose whether your web profile is public, visible to recruiters only, or completely private
  • Control which information employers can see when viewing your profile
  • Block specific companies or recruiters from viewing your profile
  • Opt in or out of job alerts and recruiter outreach

4.3 Manage Communications

  • Adjust your email notification preferences for job alerts, feature updates, and marketing messages
  • Unsubscribe from promotional emails using the link in any marketing email
  • Control push notifications and in-app messages
  • Note: You cannot opt out of essential service communications (account security, billing, Terms updates)

4.4 Delete or Download Your Data

  • Delete individual resumes, cover letters, or other content from your account
  • Download your data in portable formats (PDF, DOCX, JSON)
  • Request complete account deletion through account settings or by emailing support@recruiteye.com

4.5 Cookie and Tracking Preferences

  • Manage cookie preferences through your browser settings
  • Opt out of interest-based advertising through industry opt-out tools
  • Use "Do Not Track" browser settings (though some features may not function properly)

4.6 State-Specific Privacy Rights

Depending on your location, you may have additional rights under state privacy laws (see Section 12 for details on California, Nevada, and other state-specific rights).

5. Data Security and Protection

RecruitEye takes the security of your Personal Information seriously and implements multiple layers of protection:

5.1 Technical Security Measures

  • Encryption: All data transmitted between your device and our servers is encrypted using industry-standard SSL/TLS protocols
  • Data Encryption at Rest: Sensitive data is encrypted when stored in our databases
  • Secure Infrastructure: We use reputable cloud service providers with SOC 2 Type II compliance and robust security controls
  • Access Controls: Role-based access controls limit employee access to Personal Information based on job function
  • Authentication: Multi-factor authentication options for user accounts and mandatory MFA for administrative access

5.2 Organizational Security Practices

  • Employee Training: Regular security awareness training for all employees handling user data
  • Background Checks: Screening of employees with access to sensitive systems and data

You also have a responsibility to protect your account by choosing a strong password, keeping it confidential, and logging out after each session.

5.4 Data Breach Notification

In the event of a data breach that compromises your Personal Information, we will:

  • Notify affected users via email without unreasonable delay
  • Notify applicable regulatory authorities as required by law

6. Data Retention and Deletion

6.1 How Long We Keep Your Information

We retain your Personal Information for as long as necessary to:

  • Provide you with our Services and maintain your account
  • Comply with legal, regulatory, tax, or accounting requirements
  • Resolve disputes and enforce our agreements
  • Support legitimate business needs, such as fraud prevention and security

6.2 Retention Periods by Data Type

  • Active Account Data: Retained for the duration of your active account plus applicable legal retention periods
  • Resume and Career Documents: Retained until you delete them or close your account
  • Interview Practice Recordings: Automatically deleted within 14 days unless you download them for personal use
  • Transaction Records: Retained for 7 years for tax, accounting, and legal compliance
  • Support Communications: Retained for 3 years to maintain service quality and resolve disputes
  • Analytics and Usage Data: Aggregated data may be retained indefinitely in de-identified form
  • Marketing Preferences: Retained until you opt out or request deletion

6.3 Account Deletion

When you request account deletion:

  • We will permanently delete your account within 30 days of your request
  • Your resumes, cover letters, web profile, and other personal content will be permanently removed
  • Some information may be retained in de-identified form for analytics purposes
  • Certain data may be retained longer if required by law or necessary to resolve disputes
  • Information shared with employers prior to deletion cannot be retrieved from their systems
  • Backups containing your data may persist for up to 90 days before being overwritten

To request account deletion, email support@recruiteye.com with your account email address and the subject line "Account Deletion Request."

7. Third-Party Services and Links

Our Platform may contain links to third-party websites, services, applications, or integrations that are not owned or controlled by RecruitEye:

  • Job boards and career sites
  • Employer career pages and application portals
  • Professional networking platforms (LinkedIn, etc.)
  • Social media platforms
  • Educational resources and career blogs
  • Payment processors and billing services

We are not responsible for the privacy practices, content, or security of these third-party services. Their collection, use, and sharing of your information is governed by their own privacy policies and terms of service.

We strongly advise you to review the privacy policies of any third-party services you access through our Platform or that you integrate with your RecruitEye account. Connecting your RecruitEye account to third-party services may allow them to access certain information from your RecruitEye profile.

8. Children's Privacy

RecruitEye's Services are intended exclusively for users aged 18 and above. We do not knowingly collect, use, or share Personal Information from individuals under the age of 18.

If you are a parent or guardian and believe your child under 18 has provided us with Personal Information, please contact us immediately at support@recruiteye.com. If we become aware that we have collected Personal Information from a child under 18 without verifiable parental consent, we will take prompt steps to delete that information from our servers.

9. Cookies and Tracking Technologies

  • Security: Detect malicious activity, prevent fraud, and protect against security threats
  • Session Management: Maintain your session across pages and remember your actions

These cookies enhance functionality and personalization:

  • Preferences: Remember your language, region, and display preferences
